Producer policies
How selling with us works.
What we ask of the people whose goods are on our shelves — and what you can expect from us. Everyone selling here agrees to these.
Our mission.To create a dependable, year-round connection between producers and the local community — ensuring consistent access to fresh, nutritious, locally sourced food. We believe food is more than sustenance: it's a language of love and a powerful way to nourish, connect, and uplift those around us.
All producers
We have a collaboration mindset. We work together rather than compete against each other.
We reserve the right to the final choice of which products we carry. We want a variety for our customers' needs and wants.
Once you're onboarded, you have 30 days to bring in product for us to stock our shelves with. Space here is limited and wanted by many, so take your opportunity to be part of the team seriously. If a product is brought after 30 days, we may decline to accept it.
All items must be ready to put on the shelf when you bring them to us. We aren't responsible for cleaning, trimming and the like.
All products must have a Sunny Creek-approved barcode on the item or label, and applying them before delivery is the producer's job. If we have to add barcodes ourselves, there's a $5.00 charge for each SKU we print.
New products and barcodes
New products are submitted through your producer portal before you bring them into the store — you'll find it under My products when you sign in. Tell us:
- The correct product or label name
- Your price — what you want to be paid, not the customer price
- A product description
- How many units you want to bring
We need this so barcodes can be created and sent to you before the products arrive. Products won't be accepted without prior submission and barcode preparation.
Email blast
All producers are subscribed to our regular customer email blast, using the same address we use to talk to you. It keeps you aware of how your products are being promoted, what customers are seeing, and any seasonal campaigns your items might feature in. Please forward anything useful to people who'd benefit, and encourage them to sign up.
You can unsubscribe at any time using the link in any of those emails, and we'll honor it — it won't affect your standing with us. We'll still contact you directly about your own products and payouts.
Artificial scents or fragrances
No artificial scents — “Parfum” or “Fragrance” — in products sold through Sunny Creek. Essential oils and natural plant or earth ingredients are fine.
Producers with pets
We understand many people are pet lovers and share their homes with them. Please keep a pet-free zone around your products so pet hair doesn't end up in or on them. This applies to non-food items too. If a product has pet hair — or human hair — on it, we can't put it out for sale. That's about safety, presentation and quality, and about not triggering allergies in whoever handles or buys your items. Having pets does not disqualify you.
Live plants
What we do.Our staff give live plants general care while they're on display: watering as needed, removing dead or discolored foliage, and offering what sunlight the space allows.
What you do. Plants must arrive healthy. Ongoing needs — soil quality, pest management, fertilizing — stay with you, and please send care instructions so we can look after them properly.
Loss or damage.We don't reimburse for plants that decline, become diseased or die from natural causes or unmet care requirements. If one is broken or dies because of something our staff did — mishandling during a display change, say — we'll reimburse you for its value.
Licenses
If you sell any of the following, give us a copy of the license or certification before the item goes on sale:
- Eggs — an Egg Packers License, kept on file and kept up to date.
- Organic— Organic Certification, if you use the word “organic” in your labeling. If you grow organically but aren't certified, we can use “clean” instead. If you use a certified organic ingredient, you may say so in the ingredient list but not in the product name.
- Animal furs and pelts— Oklahoma law changed recently and anyone selling furs now needs a fur dealer's license. Both we and the producer must have one. Questions: Jarod Davis, 405-590-2583.
- Plant starts — no license needed to grow and sell plants through us. You would need one to sell from your own home or growing site.
Designs and artwork
All designs and artwork must be your own original work, and themes must be tasteful and approved by us. We don't accept collegiate, sports team, AI generated, or TV and film themed items, and nothing drug, alcohol, nudity or violence related. Items depicting specific other countries aren't allowed. Patriotic USA, Oklahoma, Ponca City and other local themes are fine when portrayed positively. We reserve the right to allow or disallow anything submitted.
Religion and politics
We want a welcoming space where everyone can enjoy high-quality, locally made products. To keep the store neutral and inviting, we ask that products don't carry religious or political messaging.
This isn't meant to diminish anyone's beliefs — it's so every customer feels comfortable. We respect our producers' individuality, and understand personal values may be expressed through your brand, logo, bio, labels or social media. We reserve the right of refusal without explanation.
Payouts
Payouts are available, sent or mailed within 5 business days of our final open day of the month.
Handling fees.Cash or a check carries a mandatory $10 handling fee, taken out of the payout. Paying you through a payment app — Venmo, PayPal or Cash App — carries no handling fee, so it's the cheaper option for you.
Payment must be collected from the store by the second day we're open. Remembering to collect it is the producer's responsibility. If it isn't collected on time there's a further $10 late fee, and it rolls over into the next month.
Small payouts (consignment).Any monthly total of $20 or less rolls over into the following month. That may mean a new CPA charge for the next month comes out of the earlier month's earnings. Once a monthly payout exceeds $20 it will be issued.

Consignment Partnership Agreement (CPA) — consignment only
The CPA supports the sustainability of our collaborative consignment model. It helps us keep a curated, supportive space that benefits our producers and the store. All consignment producers agree to the CPA.
If you sell to the shop outright, this doesn't apply to you. There's no CPA fee on wholesale — we buy from you and pay on delivery, so there are no monthly earnings to deduct from.
- It applies from your first payout cycle.
- The fee is based on your sales for the cycle, and rises by $10 for each $300 of sales: $10 up to $300, $20 from $300, $30 from $600, $40 from $900, and $10 more for every further $300.
- It's deducted from your earnings towards the end of each month.
- If a month's earnings don't cover it, the remainder is due within one week of the start of the following month to stay in good standing.
- Your current statement — earnings, the CPA deduction, your inventory and any balance owed — is in your producer portal whenever you want to look.
- Not paying within that time may mean your shelf space is suspended until the balance is resolved, or removal from Sunny Creek, whichever we judge appropriate.
Slow-moving inventory
- 90 days.Non-food products get 90 days from being added to our inventory to sell. If an item doesn't sell in that time and we decide to use the space for something else, we'll tell you, and collecting the unsold product is your responsibility.
- Large items. Larger non-food items that take significant space get 30 days, unless we decide to keep them longer.
- Keeping track.Your producer portal shows how your inventory is performing. Keep an eye on the end of each sales period. If something isn't performing and needs to come off the floor within a reasonable time, we'll take it off and let you know.
- Uncollected items.If items aren't collected within 14 days of us telling you, they may be donated, discounted or removed without further notice, unless we've agreed something beforehand. Asking us to hold items beyond that may incur charges.
Expiry and best-before dates
Anything with a short shelf life, such as baked goods — or that could go off if it sits too long, such as an oil-based tincture — must carry an expiry or best-before date on the product.
Product presentation
Products must be clearly and neatly labeled, wrinkle-free in the case of fabric, and clean of debris, smudges, pet hair, loose threads and so on.
Tax
If you sell on consignment.We collect and remit the Oklahoma state sales tax on what sells here — you don't need to do anything about it. We are providing you a service, so we don't issue you tax paperwork, and remitting any tax owed on your earnings is your responsibility.
If you sell to the shop outright (wholesale).We're buying from you, so we will issue you a 1099 where the amounts require it. Keep your details with us up to date so it reaches you.
You may want to consider applying for an LLC. To find out about filing, see Register Your Business (oklahoma.gov) or contact Pioneer Technology Center in Ponca City and ask for Business and Industries — ask for Ben Evans, who may be able to help you set it up at no extra cost. Registering an LLC with the Secretary of State costs around $100. We recommend it for your own protection.
SNAP / EBT
We've been approved to accept SNAP/EBT since August 2026, which brings more customers to your products. There's nothing for you to do — we mark which items qualify.
Broadly, SNAP covers staple foods to be taken home and prepared, and seeds and plants that produce food. It does notcover hot food sold ready to eat, vitamins and supplements, alcohol, tobacco, gift cards, or any non-food item. If you aren't sure whether something you make qualifies, ask us and we'll check.
If something is damaged or lost
We take responsibility for reasonable care of your products while they're with us. If there's isolated loss, theft or damage under normal operating conditions, we'll compensate you.
We aren't responsible for losses from product or packaging failure — expiry, broken seals, poor packaging, labeling errors, natural degradation, or failing to meet regulations.
Large-scale catastrophe.We aren't responsible for your products in a large-scale catastrophe — fire, tornado, flood or other acts of God — that causes total loss or destruction. Our insurance does not cover producer-owned inventory. We strongly encourage you to carry your own small business insurance policy for your products and stock.
What we expect, and what we don't
We don't expect you to sell only through us. Go to vendor events, sell your own items, sell online, do farmers' markets. We're glad to support that, and we understand you may occasionally need to take products out of the store for it.
Anything taken out and later returned is subject to a restock fee: $50 for the first 5 different SKUs, and $5 for each SKU beyond those 5.
We reserve the right to change these policies and procedures at any time, to better meet the needs of our customers, our producers and Sunny Creek Trading Post.
